1. 参加者留意事項
1) 実名参加の原則: すべての参加申請は必ず本人の実名(パスポートまたは身分証明書に記載された名前)で行ってください。仮名や他人名義での申請はできません。2) 参加資格の譲渡禁止: 登録完了後の参加資格は、いかなる場合も他人に譲渡できません。代理出席も認められません。3) 資格譲渡に伴う不利益: 仮名の使用や参加資格の譲渡が確認された場合、参加資格は即時に剥奪され、今後、本協議会が主催するすべての学術行事への参加が制限されることがあります。4) 申請完了の確認: 参加申請や決済の過程で中断された場合、登録が完了していない可能性があります。申請後は必ず「参加申請照会」メニューを通じて登録状況を確認してください。5) 参加取消および返金規定: 参加申請後の取消および返金はできません。返金規定は大会公式ホームページの案内に従います。2. 参加者権益保護に関する案内
1) 最小限の情報処理: 本学術大会は、円滑な準備および運営のために必要最小限の個人情報のみを収集します。2) 同意拒否に関する案内: 個人情報の収集・利用に同意されない場合、参加登録および関連サービスの提供が制限されることがあります。本同意は学術大会の円滑な運営のために必須の手続きであることをご理解ください。3. 個人情報収集・利用同意書
私は、貴協議会(東アジア日本研究者協議会)が以下の内容に基づき、私の個人情報を収集・利用することに同意します。- 収集および利用目的1) 参加者識別、名札および参加確認証の発行2) 学術大会関連の主要なお知らせおよび案内資料の送付(メール、SMSなど)3) 参加費決済4) 発表者・討論者情報、プログラムブック、参加者リストの作成5) 宿泊・食事等の便宜提供のための情報確認(該当する場合)6) 次回学術大会および関連学術行事の案内- 収集する個人情報項目1) 必須項目: 氏名（日本語／英語）、所属（機関／学校）、職位、国籍、メールアドレス、連絡先（携帯電話）2) 任意項目: 参加分野などその他学術大会運営に必要な要請事項- 保有および利用期間: 収集日から学術大会終了後1年間保有し、その後速やかに廃棄します。(ただし、将来の学術情報案内のために、氏名・メール・所属の最低限の情報は、同意の上で別途保管される場合があります。)4. 個人情報第三者提供同意書
本学術大会の円滑な進行のために必要な場合、以下のように個人情報が第三者に提供されることがあります。- 提供先1) 学術大会運営代行会社(PCO, Professional Congress Organizer)2) 宿泊および宴会関連のホテルまたは機関3) オンライン学術大会プラットフォーム運営会社(オンライン開催時)- 利用目的1) 参加登録システム運営、現場登録および案内2) 宿泊予約および食事準備3) オンライン接続アカウント発行および技術サポート- 提供される個人情報項目: 氏名、所属、連絡先、メールなど、目的達成に必要な最小限の情報- 保有および利用期間: 学術大会終了時まで(目的達成後は即時廃棄)5. 肖像権利用同意書
1) 写真および映像撮影への同意: 私は、学術大会主催側が大会期間中に行う写真および映像撮影において、私の肖像が含まれる可能性があることを認識し、これに同意します。2) 利用目的および範囲- 撮影された写真および映像物(またはそれを利用した二次著作物)は、本学術大会の記録、結果報告書の作成および広報の目的で使用されることがあります。- 利用媒体: 主催機関公式ホームページ、関連学術団体ウェブサイト、ニュースレター、SNSチャンネル、学会資料集など3) 利用期間: 公益的記録保存および学術的目的のため、別途の期間制限なく利用されることがあります。4) 無償同意: 上記目的での肖像権利用について、私は別途の対価を請求しないことに同意します。6. 学術大会参加規定同意書
1) 学術倫理の遵守: 参加者は発表、討論などすべての学術活動において学術倫理を遵守しなければなりません。2) 行事秩序の尊重: 参加者は他の参加者の発表と討論を尊重し、円滑な行事進行に協力しなければなりません。3) 個人所持品管理: 学術大会期間中の個人所持品の紛失および盗難については参加者本人の責任とし、各自管理に注意してください。4) プログラム変更の可能性: 主催側の事情により、一部プログラムや発表日程などが変更されることがあることを理解し、同意します。5) 責任同意: 私は上記すべての事項を十分に理解し、学術大会参加規定を遵守し、これに違反して発生する問題については自ら責任を負うことを確認します。1. Participant Guidelines
1) Real Name Requirement: All registrations must be completed using the participant’s real name (as written on a passport or official ID). Applications under an alias or another person’s name are not permitted.2) Non-transferability of Registration: Once completed, registration is strictly non-transferable. Proxy attendance is not allowed.3) Penalties for Misuse: If the use of an alias or transfer of registration is confirmed, the participant’s registration will be immediately revoked, and future participation in all academic events organized by the Association may be restricted.4) Confirmation of Registration: If the registration or payment process is interrupted, the registration may not be completed. After applying, please confirm your registration status through the “Registration Inquiry” menu.5) Cancellation and Refund Policy: Cancellation or refund is not possible after registration. Refund policies follow the guidelines provided on the official conference website.2. Notice on Participant Rights Protection

I hereby consent that the Association for East Asian Japan Studies may collect and use my personal information as follows:- Purpose of Collection and Use1) Participant identification, issuance of name badges and participation certificates2) Sending of major announcements and materials related to the conference (via email, SMS, etc.)3) Processing of registration fee payments4) Preparation of presenter and discussant information, program book, and participant list5) Verification of information for accommodation and meal arrangements (if applicable)6) Notification of future academic conferences and related events- Personal Information Collected1) Required: Name (in Korean/English), affiliation (institution/school), position, country, email address, mobile phone number2) Optional: Field of participation and other requests necessary for the operation of the conference- Retention and Use Period: Information will be retained for one year after the conclusion of the conference and then securely destroyed. (However, with consent, minimal information such as name, email, and affiliation may be retained for future academic announcements.)4. Consent to Third-Party Provision of Personal Information
For the smooth operation of the conference, personal information may be provided to third parties as follows:- Recipients1) Professional Congress Organizer (PCO)2) Hotels or institutions related to accommodation and banquets3) Online conference platform operators (in the case of virtual events)- Purpose of Use1) Operation of the registration system, on-site registration, and information desk services2) Hotel reservations and meal arrangements3) Issuance of online access accounts and technical support- Personal Information Provided: Name, affiliation, contact details, email, and other information strictly necessary to achieve the stated purposes- Retention and Use Period: Until the conclusion of the conference (all data will be destroyed immediately after the purpose is fulfilled)5. Consent to Use of Portrait Rights
1) Consent to Photography and Filming: I acknowledge and consent that my likeness may be included in photographs and videos taken by the organizers during the conference.2) Purpose and Scope of Use - Photographs and videos (including derivative works) may be used for documentation, reporting, and promotional purposes of the conference. - Media: official websites of the organizing institution, affiliated academic organizations’ websites, newsletters, social media channels, conference proceedings, etc.3) Period of Use: For the purpose of public record and academic use, materials may be used without a fixed time limitation.4) Consent Without Compensation: I agree not to request any compensation for the use of my portrait for the above purposes.6. Consent to Conference Participation Regulations1) Compliance with Academic Ethics: Participants must uphold academic integrity in all activities, including presentations and discussions.2) Respect for Order: Participants must respect other attendees’ presentations and discussions and cooperate for the smooth progress of the event.3) Responsibility for Personal Belongings: Participants are responsible for the safekeeping of their personal belongings during the conference. The organizers assume no liability for loss or theft.4) Possibility of Program Changes: Participants acknowledge and agree that certain programs or presentation schedules may be subject to change due to organizational circumstances.5) Acknowledgement of Responsibility: I confirm that I fully understand all of the above and agree to comply with the regulations. I accept full responsibility for any issues arising from violations.1. 참가자 유의 사항
